What we collect

When you book a shoot, create an agent account, request a quote, or send a message through the contact form, we collect what you give us:

• Name, phone number, and email address
• Property address, square footage, and access notes for the shoot
• Brokerage, license numbers, headshot and broker logo, if you build an agent brand kit
• Booking history, delivered media, and invoice status

How we use it

Contact details are used to confirm bookings, send prep checklists, deliver media links, and follow up on invoices. Property details are used to route the photographer and to build your published property site. Brand kit details appear on your property sites, agent hub, and marketing kits, and are used to meet Ohio real estate advertising requirements.

Our emails include a small tracking pixel, and the links in them pass through our own site before sending you on to where they point. That is how we can tell whether a delivery actually reached you and which links were useful, so we know when something needs a follow-up call rather than another email. We record the time, the mail app that loaded it, and a one-way hash of the IP address; the address itself is never stored, and the hash cannot be turned back into one.

We do not sell personal information, and we do not share it with advertisers.

Service providers

We use a small number of vendors to run the business, and they only receive what they need to do their part:

• Cloudflare for hosting, storage of shoot media, and image delivery
• Invoice Ninja for invoicing and payment processing; card details live with the payment gateway, never on our servers
• Google Maps and Places for address autocomplete and drive-time routing
• CubiCasa for floor plan and scan processing
• Twilio for text message notifications
• Email delivery services for magic sign-in links, checklists, and delivery notices

Text messages (SMS)

Text messages from Ohio Real Estate Pics are opt in. We only text you if you tick the optional box when booking or turn texts on from your account page, and consent to receive texts is not a condition of purchase. Everything we text, we also email, so opting out never means missing anything.

The texts are transactional and tied to a specific shoot: a booking confirmation, a reminder the evening before, and a note when your photos are ready. Message frequency depends on how often you book, about 3 messages per shoot. Message and data rates may apply, depending on your mobile plan.

Reply STOP to any message to opt out, HELP for help, or START to opt back in. You can also call or text us any time to be removed.

Your mobile phone number and SMS consent are never shared with or sold to third parties or affiliates for their marketing, and text-messaging originator opt-in data is not shared with any third parties. We use Twilio only to deliver these messages on our behalf. As stated above, we do not sell personal information.

Sign-in and cookies

Agent accounts use passkeys, Google sign-in, or a one-time email link. There are no passwords to store. Signing in sets a session cookie so the site remembers you between pages; it is required for the portal to work and expires on sign-out.

Media ownership and property sites

Photographs and video remain the copyright of Ohio Real Estate Pics unless your package includes a copyright release, in which case the release terms govern. Published property sites and agent hubs are public pages by design: the address, listing details, media, and the agent identification required by Ohio advertising rules are visible to anyone with the link. Unbranded MLS versions drop agent and photographer identity but keep the required disclosures.

Data retention and your choices

Booking records, media, and invoices are kept for as long as your account is active, because agents rely on the media library staying available. You can ask us to correct your information, unpublish a property site, or delete your account and its media. Call or text and we will handle it.
